This Privacy Policy explains how FileWords.com (“FileWords”, “we”, “us”, “our”) collects, uses, and shares information when you use our website and services, including creating and operating “search-first FAQ bots”.

Summary

We collect information you provide (like website URLs, FAQ content you draft/publish, and support requests), and information generated through usage (like FAQ search queries and aggregate analytics). We use this information to verify backlinks, run the FAQ bot, keep the service secure, and improve performance.

1) Information We Collect

Information you provide
  • Website & verification data: the website name you enter, URLs you submit (e.g., the page containing the required FileWords backlink), and related metadata needed to verify ownership and eligibility.
  • FAQ content: questions/answers you generate, draft, edit, and publish; and any content you add manually in the owner portal.
  • Account access data: if you set up an owner login for a FAQ page, we store a password hash (not your raw password). In some configurations we also bind login security to the IP address you used at setup.
  • Support communications: messages you send to us (e.g., by email).
Information collected automatically
  • Usage analytics: search queries typed into FAQ bots, counts, and timestamps; and aggregated metrics such as daily search count and top searches.
  • Device and log data: IP address, user-agent, approximate location derived from IP, pages viewed, referral URLs, and timestamps. This is used for security, rate limiting, fraud prevention, and service reliability.
  • Cookies and similar technologies: used for session management, security, preferences, and advertising/URL ads. See “Cookies & Advertising”.
Information from third parties
  • Advertising/URL-ad providers: when third-party ad or URL-ad scripts run, they may collect or receive device identifiers, cookies, and event data according to their policies.
  • Service providers: hosting, analytics, and security providers may process limited data on our behalf.

2) How We Use Information

  • Provide the service: create and operate FAQ pages, serve FAQs via API to embeds, and display FAQ content.
  • Verify site ownership and eligibility: check for the required backlink on your website pages and periodically re-check it.
  • Security and abuse prevention: rate limiting, fraud detection, spam and unsafe content prevention, and troubleshooting.
  • Analytics and improvements: understand usage, generate aggregate reports for owners, improve relevance and performance of FAQ results.
  • Communicate with you: respond to support requests and important service messages.
  • Legal compliance: comply with lawful requests and enforce our Terms.

3) FAQ Creation and Content Rules

FileWords may use automated tools (including AI services) to help create draft FAQ entries and styling suggestions. You control whether to publish, edit, or delete FAQs. You are responsible for ensuring the published FAQ content is accurate and appropriate for your website and users.

4) How We Share Information

We may share information in the following limited circumstances:

  • With service providers: vendors who help us operate the service (hosting, security, analytics), under confidentiality obligations.
  • Public content: FAQs you publish are publicly visible on your FileWords FAQ page and may be served through the API to your embedded bot page.
  • With advertising/URL-ad partners: ad and URL-ad scripts may collect data directly from your browser/device. We do not control how those third parties use such data.
  • Legal and safety: to comply with law, respond to lawful requests, protect rights and safety, investigate abuse, or enforce our Terms.
  • Business transfers: if we undergo a merger, acquisition, or asset sale, information may be transferred as part of that transaction.

5) Cookies & Advertising (URL Ads)

We use cookies and similar technologies for:

  • Essential operations: session management, security protections, and preferences.
  • Analytics: measuring usage and performance.
  • URL ads / advertising: third-party scripts may set cookies or use identifiers for ad delivery, measurement, and fraud prevention.

You can typically control cookies through your browser settings. Note that blocking certain cookies may impact functionality. Some advertising partners may offer opt-outs; those opt-outs are governed by the third party.

6) Data Retention

  • FAQ content: retained until you delete it or your FAQ page is removed due to backlink removal or account actions.
  • Verification logs: retained as needed for security, abuse prevention, and service integrity.
  • Analytics: retained in aggregated form; raw search logs may be retained for a limited period for reporting and abuse detection.

7) Security

We use reasonable administrative, technical, and organizational measures designed to protect information. No method of transmission or storage is 100% secure, so we cannot guarantee absolute security.

Your information may be processed in countries other than where you live. Those countries may have data protection laws different from your country. We take steps designed to protect your information consistent with this Policy.
